  • your email address;
  • the services or project types you select;
  • the information contained in your message or project brief;
  • information confirming that you accepted the applicable privacy terms;
  • technical information automatically transmitted when you use the website, such as your IP address, browser type, device information, access date and time, and server request data, if collected by the website infrastructure or hosting provider.

Please do not include sensitive personal data, health information, biometric data, political or religious beliefs, or personal data relating to another person unless you have a lawful reason to provide it.

4. How We Use Personal Data

We use personal data to:

  • receive and review your inquiry;
  • respond to you;
  • clarify your project requirements;
  • prepare a proposal or estimate;
  • take steps at your request before entering into a contract;
  • continue business correspondence;

We do not use contact-form data for unrelated advertising, behavioural profiling, or automated decision-making that produces legal or similarly significant effects.

5. Legal Bases

Where the EU General Data Protection Regulation or UK GDPR applies, we process personal data on one or more of the following legal bases:

  • steps taken at your request before entering into a contract;
  • performance of a contract, if one is subsequently entered into;
  • consent, where consent is requested;
  • legitimate interests, including responding to business inquiries, maintaining correspondence, securing the website, preventing misuse, and protecting legal rights;
  • compliance with a legal obligation, where applicable.

Where processing is based on legitimate interests, we consider whether those interests are overridden by your rights and interests.

You are not legally required to submit the contact form. However, we cannot respond to an inquiry without receiving the contact details and information needed to understand it.

6. How the Contact Form Works

Information entered into the contact form is transmitted to Digate by email.

The form submissions are not intentionally retained in the WordPress administration area or in a separate website lead database. However, the submitted information is received and stored in Digate’s email system and may also be temporarily processed by the website hosting, email, security, and network service providers involved in transmitting the message.

7. Service Providers and Disclosure

We may use service providers that support the operation of the website and email, including:

  • website hosting providers;
  • email providers;
  • infrastructure and network providers;
  • website maintenance and security contractors.

These providers may process personal data only to the extent necessary to provide their services and subject to applicable contractual and confidentiality obligations.

We may also disclose personal data:

  • where required by applicable law or a valid request from a competent authority;
  • where necessary to establish, exercise, or defend legal claims;
  • in connection with a business reorganisation, provided appropriate safeguards are applied.

We do not sell personal data. We do not disclose personal data to third parties for their own direct marketing or for cross-context behavioural advertising.

8. International Processing

Digate is established in the Russian Federation. When you contact Digate from another country, your personal data will be received and processed in the Russian Federation.

The Russian Federation may not be recognised by your country as providing an equivalent level of data protection. Where international-transfer requirements apply to a transfer made by Digate or one of its service providers, appropriate legal safeguards will be used as required by applicable law.

You may contact us at work@digateagency.com for further information about the locations in which your data is processed and any applicable transfer safeguards.

9. Data Retention

We retain correspondence only for as long as reasonably necessary to:

  • respond to and manage your inquiry;
  • discuss or establish a potential business relationship;
  • maintain appropriate business records;
  • comply with legal obligations;
  • establish, exercise, or defend legal claims.

If no contract is entered into, correspondence will normally be deleted no later than [insert the selected period, for example, 12 months] after the last substantive communication, unless continued retention is required by law or is reasonably necessary to protect legal rights.

If a contract is entered into, relevant information may be retained for the duration of the contractual relationship and any additional period required by applicable tax, accounting, limitation, or record-keeping laws.

When personal data is no longer required, it is deleted or securely destroyed. Residual copies contained in backups may remain until those backups are overwritten under the applicable backup schedule.

10. Cookies and Similar Technologies

The website may use strictly necessary cookies or similar technologies required for:

  • core WordPress functionality;
  • security;
  • network and session management;
  • remembering interface preferences, such as the selected theme.

The website does not currently use cookies for behavioural advertising or undisclosed analytics.

Where applicable law requires consent for a non-essential cookie or similar technology, it will not be activated before valid consent has been obtained.

You can restrict or delete cookies using your browser settings. Disabling strictly necessary cookies may affect the operation of certain website features.

11. Data Security

We apply reasonable organisational and technical measures designed to protect personal data against unauthorised access, alteration, disclosure, loss, or destruction.

No method of transmission or electronic storage is completely secure. We therefore cannot guarantee absolute security, but we review the safeguards used in light of the nature of the information and the risks involved.

12. Your Rights

Depending on where you live and which law applies, you may have the right to:

  • request access to your personal data;
  • request correction of inaccurate or incomplete data;
  • request deletion of your personal data;
  • request restriction of processing;
  • object to processing based on legitimate interests;
  • receive certain data in a portable format;
  • withdraw consent at any time where processing is based on consent;
  • lodge a complaint with a competent data protection authority.

You have the right to object at any time to processing based on legitimate interests.

Withdrawing consent does not affect the lawfulness of processing carried out before the withdrawal.

To exercise your rights, email work@digateagency.com with “Privacy Request” in the subject line. Please provide enough information for us to identify the relevant correspondence and verify that the request relates to you.

We will respond within the period required by the law applicable to your request. Some rights may be limited where continued processing is required or permitted by law.

If the GDPR applies, you may lodge a complaint with the data protection authority in the EU or EEA country where you live, work, or believe an infringement occurred.

If the UK GDPR applies, you may complain to the UK Information Commissioner’s Office or another competent UK supervisory authority.

We do not knowingly collect personal data from children through the contact form. If you believe that a child has submitted personal data, please contact us so that we can review and, where appropriate, delete it.

14. Changes to This Policy

We may update this Privacy Policy when our practices, service providers, website functionality, or legal obligations change.

The current version will always be published on this page. Material changes affecting the way we use previously collected personal data will be communicated where required by applicable law.
